The event
Tauranga Racecourse Event Centre recently welcomed more than 500 people to the Sir Tristram Lounge for a public meeting featuring the New Zealand Prime Minister, Chris Luxon.
The National Party booked the venue as part of its nationwide roadshow, requiring a large, flexible space supported by extensive parking, carefully managed guest entry and significant security arrangements.
The brief
The venue needed to accommodate approximately 500 seated guests, along with additional attendees standing at the rear of the room.
As the meeting was open to the public and did not require pre-registration, it was also important to create an efficient arrival process that could manage a large number of people entering the venue within a short timeframe.
Due to the nature of the event, professional security, bag screening, crowd control and parking management were essential.
The setup
The Sir Tristram Lounge was configured in theatre style, with rows of seating facing a stage and speakers’ lectern at the front of the room.
The flexible floorplan allowed approximately 500 guests to be seated comfortably, while providing additional room for standing attendees at the rear.

Managing arrivals and security
The Tauranga Racecourse Event Centre team coordinated a professional security company to manage parking, bag checks and crowd control.
Because there was no pre-registration, the entry point was carefully designed to support efficient bag screening and a smooth flow of guests into the building.
This helped minimise queues and wait times while ensuring the event’s security requirements were met.
The racecourse’s extensive and easily accessible on-site parking also made arrival and departure straightforward, even with more than 500 people attending.
Responding to a last-minute request
Shortly before the public meeting concluded, the team received a request to prepare an additional room for a media briefing.
The space was quickly reconfigured and fully prepared for use immediately following the main event.
The request demonstrated the value of having multiple adaptable spaces available within one venue, as well as an experienced team capable of responding efficiently when event requirements change.
Catering options for large events
Catering was not required for this particular event, but Tauranga Racecourse Event Centre can easily provide food and refreshments for groups of this size.
The adjoining Café area allows catering to be served separately from the main event space, helping to maintain a comfortable floorplan and an easy flow of guests.
